10 Bank-Statement Worksheet Mistakes That Come Back as Conditions

Most bank-statement conditions aren't about the borrower. They're about the worksheet: a number that doesn't tie to the statements, a rule that wasn't applied, or a month that isn't there. Here are ten common ones, with the published rule each one breaks.

1. Counting transfers between the borrower's own accounts

Moving money from savings to checking isn't income. The Silver Hill program sheet lists "non business related account transfers" among unacceptable deposits, alongside credit-card cash advances, tax refunds, product returns and credits, gift funds, credit-line deposits and business financing, and PPP loans. [1]

Catch it: match every transfer-in against the other account's statements before you total the month.

2. Missing a month

Programs ask for consecutive months. Silver Hill requires "12 or 24 consecutive months," and Arch averages over "the most recent 12 or 24 consecutive months." [1][2] A combined PDF with one month missing in the middle is easy to overlook.

Catch it: list statement periods per account and check for gaps before you calculate.

3. Stale statements

Silver Hill and Plaza require the statements to be dated within 90 days of the note date. [1][3] A file that slips can need an updated statement and a re-run.

4. Wrong ownership percentage

On business statements, ownership is applied to eligible deposits. [2] Using 100% for a 50% owner doubles the income. Ownership also has to be documented, for example with a CPA letter, tax preparer letter or operating agreement on Plaza's program. [3]

5. An expense factor that doesn't fit

Arch says its standard 50% option can't be used if third-party documentation showing an expense ratio over 50% has been disclosed. [2] Angel Oak underwrites some higher-expense industries at 70%. [4] Applying 50% to a business with inventory, staff and a storefront invites a condition.

6. Skipping the trend check

Lenders compare the full period with a recent window and use the lower figure: 12 vs. the most recent 6 months, or 24 vs. the most recent 12, on Arch's instructions. [2] A worksheet that shows only the full-period average isn't finished. Arch also requires extra review and a borrower LOE when income has dropped more than 20%. [2]

7. Ignoring the income on the application

Silver Hill determines qualifying income as the lower of the calculated figure or the monthly net income stated on the initial URLA. [1] If the 1003 understates income, the worksheet can't fix it.

8. Using the wrong deposits on personal statements

On Plaza's personal-statement option, only transfers or deposits from the business account(s) are eligible, with ATM deposits allowed only when there's a consistent pattern. [3] Silver Hill warns that when a personal account is jointly owned with someone who isn't a business owner, extra care is needed to use only eligible business transfers or deposits. [1]

9. Not counting NSFs the lender's way

Plaza and Newfi count multiple NSFs on the same day as one occurrence, and Plaza excludes certain overdrafts covered by a qualifying linked account. [3][5] Counting raw fee lines can overstate (or understate) the number. See article 03.

10. Leaving large or inconsistent deposits in

Plaza says inconsistent or large deposits should be sourced or excluded, and on business statements defines a large deposit as one exceeding 100% of average monthly sales. [3] Newfi's matrix uses 50% of average monthly sales. [5] See article 11.

A pre-submission checklist

  • [ ] Every account has every month, consecutive, within the program's date window
  • [ ] Each statement's opening balance + credits − debits = closing balance
  • [ ] Own-account transfers and other ineligible deposits removed, with a reason for each
  • [ ] Ownership % documented and applied
  • [ ] Expense factor matches the program and the business
  • [ ] Trend window calculated; lower figure used
  • [ ] Result compared with the income on the application
  • [ ] NSFs counted per the program's rules
  • [ ] Large or inconsistent deposits sourced or excluded
  • [ ] The worksheet goes in the file. Silver Hill says an underwriting bank-statement calculation form "must be utilized and made part of the loan file." [1]
