Bank Statement Reconciliation: Make Every Statement Tie Out Before Underwriting

This is general practice for education, not underwriting guidance. Program rules vary; check your lender's current guide.
Every income worksheet rests on the deposit figures you pull from the statements. If those figures are wrong, every number after them is wrong too. The simplest check is reconciliation: does the statement add up?
The basic test
For each statement:
Opening balance + total credits − total debits = closing balance
Use the opening and closing balances printed on the statement. If your figures land on the printed closing balance to the cent, that's strong evidence nothing is missing or misread. It won't catch offsetting errors or a deposit put in the wrong category. If they don't, something is missing or misread.
What a mismatch usually means
- A misread amount. A digit dropped or transposed, or a credit captured as a debit.
- A missing page. Multi-page statements often lose a middle page in the scan or the download.
- A duplicated line. The same transaction captured twice, often across a page break.
- Pending or memo items. Lines that appear on the statement but aren't posted transactions.
- No printed balances. Some printouts don't show opening and closing balances. Then the statement can't be checked this way; treat it as unverified until you have a complete statement.
How to fix it
- Recheck against the totals the bank prints (many statements show total deposits and total withdrawals).
- Compare page counts and look for jumps in the running balance, if the statement shows one.
- Re-read the lines near the gap against the PDF.
- If a page is missing, request the complete statement from the borrower before you finalize the worksheet.
Why it matters
A statement that doesn't reconcile can hide a large deposit, an NSF or an internal transfer that should have been excluded. Catching it now avoids a condition later.
FAQ
Does a statement that reconciles prove the income?
No. It shows the captured transactions add up to the printed balances. It doesn't confirm that each deposit is eligible income; that's still your call under the lender's guidelines.
What if the statement has no opening or closing balance?
It can't be reconciled. Treat it as unverified and request a complete statement.
Do I need to reconcile every month?
Reconciling every statement in the look-back period is the surest way to catch missing pages and misreads.
