Downloaded, Printed or Scanned: Which Bank Statements Will Underwriting Accept?

Oct 16, 2026 · Varaxon Technologies LLC d/b/a StatementReady

This is educational, not underwriting guidance. Rules below are quoted from specific lender documents as published when checked. Always use the current guidelines for your program.

Borrowers send statements in every format: PDFs downloaded from online banking, screenshots of the app, printouts of "recent activity," phone photos of paper statements. Some of those work. Some come straight back as a condition.

Here's what Fannie Mae's Selling Guide says a statement must contain, and how to apply it to the formats you actually receive.

This summarizes Fannie Mae's asset-verification guidance (B3-4.2-01). Non-QM programs set their own rules for income statements, so check with your lender. Educational only.

What every statement must show

Fannie Mae says copies of bank statements must [1]:

  • clearly identify the financial institution
  • clearly identify the borrower as the account holder
  • include at least the last four digits of the account number
  • include the time period covered
  • include all deposits and withdrawal transactions (for depository accounts)
  • include the ending account balance

That list is the test for any format. If a document is missing one of these, it isn't a complete statement.

Downloaded online statements: generally fine

Fannie Mae says statements "may be computer-generated forms, including online account or portfolio statements downloaded by the borrower from the Internet." [1]

There's one extra requirement: documents downloaded from the Internet (or faxed) "must clearly identify the name of the depository or investment institution and the source of information," for example in the Internet or fax banner at the top of the document. [1]

Tip: the monthly statement PDF from the bank's "Statements" or "Documents" section usually carries the bank's name and the full statement layout. Ask for that, not a printout of the activity screen.

Transaction histories and screenshots: usually incomplete

A "recent activity" printout or app screenshot often lacks the statement period, the opening or ending balance, or the account holder's name. Measured against the list above, that's incomplete. [1] If the latest statement is stale, Fannie Mae has a specific fix: when the latest statement is more than 45 days before the application date, the lender should ask for a more recent, supplemental, bank-generated form showing at least the last four digits of the account number, the balance and the date. [1]

Scanned and photographed paper statements

Fannie Mae's list of requirements doesn't depend on format. A scan of a paper statement can show everything above, as long as it's complete and legible. Practical tips:

  • scan every page, front and back if the bank prints on both
  • use a flatbed or scanning app that produces a straight, readable PDF rather than angled photos
  • don't crop the header, which carries the bank name, account number and period

How many months

For Fannie Mae asset verification, purchase transactions need the most recent full two months of account activity (60 days, or the most recent quarter if reported quarterly), and refinances need the most recent full month (30 days, or the most recent quarter). [1] Bank-statement income loans need far more: 12 or 24 months. See article 06.

Direct verification as an alternative

Fannie Mae also accepts direct verification by a third-party asset verification vendor, with conditions, including the borrower's authorization and the lender's assessment of the vendor. [1] Some non-QM programs allow similar substitutes for assets: the Silver Hill program sheet allows asset verification by a Fannie Mae approved asset validation provider in lieu of 2 months of borrower statements, if it covers 60 days of activity and includes everything normally on a bank statement. [2]

Non-QM income statements

The rules above are for verifying assets on agency loans. Non-QM lenders set their own requirements for the 12 or 24 months used for income, so check your program. The same checklist is a sensible baseline: institution, account holder, account number, period, every transaction, and the ending balance.
